Volunteer Information and Program Details

PYHA VOLUNTEER PROGRAM

Princeton Youth Hockey Association (PYHA) depends on the volunteerism of our members and it is critical that we all share in the commitment to the success of our association.

PYHA requests each family fulfill a certain number of volunteer hours each year as defined by the PYHA Board of Directors. This volunteer requirement is necessary for the Association to function as well as to fulfill district and regional obligations. It is the PYHA Board’s responsibility to ensure that volunteer opportunities exist to enable each family to fulfill their obligation.

The requirement is 12 hours per family of approved volunteer hours.  

 If ALL volunteer hours are not complete within the requirements, a invoice will be sent at the send of the season if hours are not completed.  (This is ALL or nothing, if you complete 8 hours only; you will be invoiced).  

Volunteer opportunities will be posted and available to “claim” in the Dibs section of the website. You must use the online system or your hours will not be tracked.

Dibs

  • All items should be claimed under that same skater for the entire year if you have mutiple accounts.
  • Members will be able to see all items/hours available and “claim” an item
  • You will receive an email reminder the day prior to your scheduled event
  •  You have the ability to log into the site and view your personal Dibs account and see any items you have claimed and hours completed.
  • It is the duty of each family to validate the accuracy of your family account information, hours pending and hours performed.

If you have a conflict for a Dibs item you previously claimed, you may cancel your claim online up to three (3) days prior to the scheduled time. You must cancel through the online Dibs system.  Without a three (3) day advance notice, you will be responsible to find a replacement and notify the Volunteer Coordinator of the change.

Please show up 15 minutes ahead of your shift which will allow time for you to check in along with the possibility if your event is running early.

The following positions fulfill ALL required hours:

  • PYHA Board Member
  • Various Committee members (recruiting committee, outdoor rink committee, etc.)

All coaches (head and assistant) are asked to volunteer at least 1 additional hour (beyond coaching your team) at an on-ice recruiting event such as Try Hockey for Free day or Intro to Hockey.  

*Clock, Scorekeeper and Penalty Box (minor team official duties) are team responsibilities and do not apply towards volunteer hours. No parents are exempt from these duties (except that team’s coaches)—team managers will organize/assign duties by family and hand out a schedule.  If you are unable to perform duties, you are responsible for swapping dates/duties with other team families and notifying the team manager of the change.  

Who can volunteer?
All volunteers MUST be 18 years of age or older.

Can I buy out my family’s volunteer hours?
No, not technically.  You are asked when you register your skater if you want to opt out of volunteer hours and at that time you will be charged $1,000.00 if you click the opt out box.   However, all families are requested to put in their required hours per year/season.  Again, this is about making our association successful.

What if my family works more hours, can we carry them over to next season? 
No, hours cannot be carried over.

What if my family doesn’t complete the required volunteer hours?
You will be billed $1,000.00 at the end of the season for not doing the hours.  

Please note:  if the percentage of members choosing NOT to volunteer vs. members volunteering is higher there will be adverse consequences that we hope we never have to encounter.  However, some of the adverse consequences could be but are not limited to:  our Association could be in jeopardy of remaining whole, funding for our arenas could suffer which could result in devastating ramifications and we could be financially fined by Districts 10 if their volunteer requirements have not been met and be placed on probation of hosting tournaments in the future, which happened in 2010.
